Pasting values in Excel offers several significant advantages. Firstly, it eliminates the link to the original data (like with the TRIM or PROPER function), ensuring data integrity and preventing inadvertent changes.

This process significantly reduces file size, enhancing performance, especially in large spreadsheets.

In Excel, you can paste in values in 4 different ways

Convert a formula in values

To explain how to copy-paste in values, we will take the example of the TRIM function. This function is very useful to clear your cells of extra spaces like it's the case in column A.

Situation where we remove extra spaces with TRIM

In Column B, we have built a formula with the TRIM function to remove the extra spaces. So now, we must keep this result. And the only way to keep only the values (without the formula), it's to copy column B and paste them into values.

Paste in values with the Ribbon

  1. Copy the cell in column B
  2. Go to the Home tab
  3. Click on the arrow under Paste
  4. Select the option Values
Paste special in values with the ribbon

And then, the formulas with the TRIM function don't exist anymore, only the result is kept 👍

Result after pasting values no more formula

Combinaison of shortcuts

  1. Copy the cell in column B
  2. Press the keys Ctrl + Alt + V to display the Paste Special Dialog box
  3. Then, press V to select the Value options
Dialog box Paste Special

  2. Put the cursor on the edge of the selection
  3. Right-click on the mouse button
  4. Move the selection slightly to the right, and return to the original position
  5. Release the button of the mouse
  6. Choose the option Copy here as values only
Trick with the mouse to paste in values
